Welcome to Belin Doc ("we," "our," or "the Service"). This Privacy Policy explains how we collect, use, store, and disclose information when you use our website and services at belindoc.com. By using our services, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

1.1 Account Information

When you register or log in, we collect:

  • Email address
  • Password (stored as a one-way hash; we never store your plain-text password)
  • Display name or profile information provided via Google OAuth
  • Account preferences (e.g., document type recognition settings)

1.2 Document and File Content

When you upload files for translation or processing, we temporarily store:

  • The uploaded document content (PDF, DOCX, images, EPUB, video/audio files, etc.)
  • Translation results generated from your content

Uploaded files are used solely to provide the requested service. They are automatically deleted from our servers within 24 hours of processing completion. We do not use your document content to train AI models.

1.3 Payment and Subscription Information

If you purchase a VIP plan or credits, payment transactions are processed by our third-party payment provider. We receive and store:

  • Subscription tier and expiry date
  • Credit/token balance
  • Transaction history (order IDs, amounts, timestamps)

We do not store full credit card numbers or payment card details.

1.4 Device and Usage Information

We automatically collect:

  • IP address and approximate geographic location (country/region level)
  • Browser type and version, operating system
  • Pages visited, features used, translation language pairs selected
  • Session timestamps and duration
  • Device fingerprint (used for guest login functionality)

1.5 Organization Account Information

If you create or join an organization account, we collect:

  • Organization name and settings
  • Member email addresses and roles
  • Shared translation history within the organization

2. How We Use Your Information

We use collected information to:

  • Provide, operate, and maintain our services
  • Process translations and tool operations you request
  • Manage your account, subscription, and credit balance
  • Detect and prevent fraud, abuse, or violations of our Terms of Service
  • Monitor and analyze usage trends to improve the service
  • Send transactional communications (e.g., account confirmations, subscription receipts)
  • Respond to your support inquiries

We do not sell your personal information to third parties.

3. Third-Party Service Providers

To deliver our services, we share data with the following categories of third-party providers. Each is bound by their own privacy policy and, where applicable, data processing agreements.

3.1 AI Translation Engines

Your document content is transmitted to one or more AI model providers to perform translation. These may include:

  • Google (Gemini models)
  • OpenAI (GPT models)
  • Other AI providers depending on the model you select

The specific provider used depends on the AI model you choose for each translation task.

3.2 File Storage and CDN

  • Amazon Web Services (AWS S3) — uploaded files and translated results are stored temporarily in AWS S3 object storage.
  • Amazon CloudFront — static assets and file downloads are served via CloudFront CDN.

3.3 Authentication

  • Google OAuth — if you choose "Sign in with Google," your Google account email and profile are shared with us by Google.
  • Firebase Authentication (Google) — used to manage user sessions and authentication tokens.

3.4 Analytics

  • Firebase Analytics (Google) — we use Firebase to understand how users interact with the service (page views, feature usage, session data).
  • Microsoft Clarity — we use Microsoft Clarity to record aggregated user behavior (session replays, heatmaps, click patterns) for UX improvement. You can opt out at clarity.microsoft.com/opt-out.

3.5 Security (CAPTCHA)

Cloudflare Turnstile — used on authentication forms to detect automated bot traffic. Turnstile analyzes browser signals without storing personal data on our behalf.

4. Cookies and Similar Technologies

We use cookies and similar technologies for the following purposes:

  • Strictly necessary — session authentication, security tokens, language preference. Required for the service to function.
  • Functional — remembering your settings (e.g., OCR preferences, theme). Required for the service to function.
  • Analytics — Firebase Analytics, Microsoft Clarity (usage patterns, session data). You may opt out via the links in Section 3.4.
  • Security — Cloudflare Turnstile bot detection. Required for account security.

Authentication cookies expire after 15 days. You can clear cookies at any time via your browser settings, but doing so will log you out of the service.

5. Data Retention

  • Uploaded files and translation results — deleted within 24 hours of processing
  • Account information — retained for the life of your account, plus 30 days after deletion
  • Transaction and billing records — retained for 5 years to comply with financial record-keeping requirements
  • Analytics data (aggregated) — up to 26 months
  • Log data (IP, access logs) — up to 90 days

6. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you
  • Correction — request correction of inaccurate data
  • Deletion — request deletion of your account and associated personal data
  • Data portability — request your data in a machine-readable format
  • Objection / Restriction — object to or request restriction of certain processing activities
  • Withdraw consent — where processing is based on consent, you may withdraw it at any time

7. Data Security

We implement reasonable technical and organizational measures to protect your information, including:

  • HTTPS encryption for all data in transit
  • Hashed password storage (we never store plain-text passwords)
  • Time-limited presigned URLs for file access (files are not publicly accessible)
  • Access controls limiting internal access to personal data

No system is completely secure. In the event of a data breach that is likely to result in significant harm, we will notify affected users as required by applicable law.

8. Children's Privacy

Our services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us at support@belindoc.com and we will promptly delete it.

9. Third-Party Links

Our service may contain links to third-party websites. We are not responsible for the privacy practices of those websites. We encourage you to review their privacy policies before providing any personal information.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.
